Useful food traceability starts with a deliberate identity chain: supplier lot, receipt, production consumption, finished lot, inventory location, order and shipment. Here is how to design that chain around Fishbowl.

1. Define the traceable unit

Agree on the item, supplier lot, internal lot, finished lot, date fields, unit of measure and location grain before configuring transactions. A lot number without a stable item and quantity relationship is not reliable genealogy.

2. Capture identity at receiving

Record supplier, purchase order, item, quantity, supplier lot, internal lot and applicable date information at the first controlled receipt. If quality status is managed elsewhere, preserve a durable reference and keep the authorization decision with qualified personnel.

3. Preserve consumption through production

Every work order should connect the actual component lots consumed to the actual finished lot and yield produced. Planned BOM quantities alone cannot prove genealogy.

  • Actual component lot and quantity consumed

  • Approved formula or BOM version reference
  • Yield, scrap and adjustment evidence

4. Separate physical, quality and available status

Inventory can be physically present but quarantined, held, rejected or otherwise unavailable. The operational design must prevent an on-hand total from being mistaken for releasable inventory.

5. Allocate eligible inventory

FEFO logic must consider expiration, customer shelf-life requirements, holds, reservations and channel policy. Exceptions should be visible and approved rather than handled through silent substitutions.

6. Test backward and forward trace

Select a finished lot and prove that the team can identify its inputs. Then select an ingredient lot and identify every affected batch, current location, order and shipment. Run the test with controlled sample data before go-live.

Where AI belongs

An agent can identify missing links, assemble evidence and flag risky allocations after deterministic transaction capture is reliable. It should not invent genealogy, release held product or make recall decisions.
